SPEAKER DEADLINES
APRIL 12
REGISTER (required)
All speakers must register as attendees for the conference by April 12.
NOTE: See email distributed late February for details; reach out to dorothy@leadingagetexas.org for registration assistance.
Reminder: Speakers attend the conference for free on the day of their presentation. LeadingAge Texas will provide speakers with registration instructions and a discount code to be used that acts as a “free day pass” to cover the registration
cost for the day of their presentation. Though it is not a requirement, speakers are welcome & encouraged to register to attend the full conference if their schedule allows, and will be billed accordingly (i.e. speakers will pay for the cost of registration, less the day of their presentation).

UPLOAD PRESENTATION (required) & MATERIALS (optional):
Required: Use the form below to provide your presentation May 3 for LeadingAge Texas' review.
Encouraged, but not required:
- Any materials you wish to share with attendees (PDFs of your PowerPoint presentation, instructional guides, participation sheets, etc.) must be submitted in PDF format using the upload feature at the bottom of this page by May 3.
- You are welcome to use LeadingAge Texas' branded PowerPoint template for your
presentation, but are not required to do so.
Note: Those presenting within the Clinical Excellence track will be provided a template that is required for use.
REMINDERS
SPEAKER PRESENCE & ON-SITE RESPONSIBILITIES:
- The speaker agrees to arrive onsite at least 30-minutes prior to the beginning of her/his session and check in with the LeadingAge Texas staff at the Info Desk.
- The speaker is responsible for bringing their presentation on a flash drive and/or being able to access it via a cloud service for use on-site.
- Each breakout session room will be set with the following:
- Laptop with Microsoft Office + laptop sound
- Podium
- Head table with two chairs
- LCD projector & screen
- Sound & mixer
- Lavaliere microphone
- Table microphone on table stand
- Slide advancer/presentation clicker
USE OF COPYRIGHTED MATERIALS: Copyrighted materials should not be reproduced as part of PowerPoint presentations or handouts without permission from the owner/author and should be cited appropriately.
MATERIALS FOR ATTENDEE DOWNLOAD: LeadingAge Texas will post handouts provided by speakers via the online upload form for attendee download on both our website and the conference app; we will not print materials for distribution.
PROMOTION OF PRODUCTS/SERVICES: Educational sessions are intended to educate and support learning and, therefore, may not blatantly sell, promote, or pitch any specific products and/or services. If examples of products and/or services must be used to illustrate a point, more than one company's example must be provided. Any violation of this policy may result in prohibition from presenting with LeadingAge Texas at future events.
ATTENDEE INFORMATION: Speakers may request a conference attendee list pre-conference
and a session attendee list post-conference (LeadingAge Texas will provide details on how to make the request). The list will only include attendees who have opted in to sharing their information.
CANCELLATION NOTICE: If a force majeure event makes it impossible for the speaker to fulfill the agreement, the speaker will immediately notify LeadingAge Texas via email to amanda@leadingagetexas.org AND
dorothy@leadingagetexas.org and will aid in finding a qualified replacement speaker for the session.

PRE-CONFERENCE

It depends...
Yes, if you are presenting within the Clinical Excellence track. All sessions within this track must use the Clinical Excellence-exclusive
Presentation Template provided via email in early May.
No, if you are presenting within any other track. For sessions in the Leadership & Operational Excellence, Strengthening Your Workforce, and Thriving Communities tracks, you are not obligated to use
a specific template, but you are welcome to use this branded PowerPoint template for your presentation if you prefer.

- Are you attending on just the day of your session? Then, yes, you'll attend at no cost!
- Details (as noted in the Agreement to Terms section of the Session Proposal Submission Form): Speakers attend the conference for free on the day of their presentation. LeadingAge Texas will provide speakers with registration instructions and a discount code to be used that acts as a “free day pass” to cover the registration cost for the day of their presentation.
- Are you attending the full conference? Hooray! You'll receive a special discount on registration!
- Included in the "Registration Instructions for Annual Conference Speakers" email distributed late February, is a promo code you'll use to discount your full-conference registration accordingly
(equivalent to cost of the day you're presenting)!

POST-CONFERENCE
Upon request. You may request an attendee list by emailing dorothy@leadingagetexas.org.
Attendee lists will be sent about two weeks post-conference and will only include attendees who have not opted out of sharing their information.
Note: Full-conference attendee lists are only provided to exhibitors and sponsors.
