Conference Policies

2022 ANNUAL CONFERENCE ATTENDEE REGISTRATION CANCELLATIONS & REFUNDS

All registration cancellations and refund requests must be made in email by April 30 and sent to dorothy@leadingagetexas.org.

Telephone cancellations will not be accepted.

No refunds will be granted for requests emailed after April 30. 

Refunds will be processed within 30 days after completion of the Annual Conference.

LeadingAge Texas regrets that refunds will not be given for no-shows. No-shows will be billed. 

Cancellation penalties:

  • Registration Open - March 31 = full refund less a $75 processing fee per attendee
  • April 1 - April 30 = 50% refund
  • Anytime after April 30 = substitutions may be made for persons unable to attend

After the cancellation deadline, a registration credit for Annual Meeting 2022 may be considered in the event of approved extenuating circumstances such as a travel ban, illness, etc for LeadingAge provider members only (extenuating circumstances require documentation and must accompany your request, please email to dorothy@leadingagetexas.org).

REGISTRATION SUBSTITUTIONS

Substitutions are gladly accepted! Substitution of registration is permitted prior to the conference or on-site.

  • Registration Open - May 16 @ 5pm: Substitution requests should be submitted via email to dorothy@leadingagetexas.org.
  • Anytime after May 16 @ 5pm: Substitutions after this date can be processed at the at the Attendee Registration Desk on-site on the second floor at the Conference Hotel, Renaissance Dallas Addison Hotel.

Only one substitution is permitted per original registrant. The individual submitting the substitution request is responsible for all financial obligations (any balance due) associated with that substitution.

Registration/badge sharing & splitting is strictly prohibited. Registrations are to be used by the same person for the entire conference even if the person is able to attend only part of the program or conference.

HEALTH & SAFETY

The 2022 Annual Conference & Solutions EXPO, as with all in-person events hosted by LeadingAge Texas, will follow CDC recommendations along with state, county, & city guidelines, and the host hotel’s policy as it relates to COVID-19. Should changes occur within said guidelines impacting the event, LeadingAge Texas will adjust & update attendance requirements accordingly.

CODE OF CONDUCT

LeadingAge Texas is committed to providing a safe, productive, and welcoming environment for all meeting participants and LeadingAge Texas staff. All participants, including, but not limited to, attendees, speakers, volunteers, exhibitors, LeadingAge Texas staff members, service providers, and all others are expected to abide by this Code of Conduct. This Policy applies to all LeadingAge Texas meeting-related events, including those sponsored by organizations other than LeadingAge Texas but held in conjunction with LeadingAge Texas events, on public or private platforms.

LeadingAge Texas has zero-tolerance for any form of discrimination or harassment, including but not limited to sexual harassment by participants or our staff at our meetings. If you experience harassment or hear of any incidents of unacceptable behavior, LeadingAge Texas  asks that you inform Dorothy Ferrick, Events & Member Engagement Manager, dorothy@leadingagetexas.org or (512) 467-2242 so that we can take the appropriate action.

Unacceptable Behavior is defined as:

  • Harassment, intimidation, or discrimination in any form.
  • Verbal abuse of any attendee, speaker, volunteer, exhibitor, LeadingAge Texas staff member, service provider, or other meeting guest.
    • Examples of verbal abuse include, but are not limited to, verbal comments related to gender, sexual orientation, disability, physical appearance, body size, race, religion, national origin, inappropriate use of nudity and/or sexual images in public spaces or in presentations, or threatening or stalking any attendee, speaker, volunteer, exhibitor, LeadingAge Texas staff member, service provider, or other meeting guest.
  • Disruption of presentations during sessions, in the exhibit hall, or at other events organized by LeadingAge Texas throughout the conference. All participants must comply with the instructions of the moderator and any LeadingAge Texas event staff.
  • Presentations, postings, and messages should not contain promotional materials, special offers, job offers, product announcements, or solicitation for services. LeadingAge Texas reserves the right to remove such messages and potentially ban sources of those solicitations.
  • Participants should not copy or take screen shots of any activity that takes place in the the conference App.

LeadingAge Texas reserves the right to take any action deemed necessary and appropriate, including immediate removal from the meeting without warning or refund, in response to any incident of unacceptable behavior, and LeadingAge Texas reserves the right to prohibit attendance at any future meeting, virtually or in person.

SHARING CONTACT INFORMATION

The 2022 Annual Conference & Solutions EXPO is a networking event. By attending the event, your contact information may be shared with other registrants and will be visible when using the conference App. You will have the ability to make changes to your individual profile to edit/hide certain information once logged into the App. LeadingAge Texas will never sell or misuse your information. 

SUITCASING POLICY

Suitcasing: Any activity designed to solicit or sell products or services to delegates attending a meeting, conference, exhibition or event without the proper authorization by the event sponsor.

Please note that any person who is observed soliciting business, conducting meetings, OR distributing promotional materials in meeting rooms, outside the limits of the exhibitor's assigned booth(s), or other public spaces may be asked to leave. 

Report any violations to LeadingAge Texas staff.
